Position Summary:
This position is primarily responsible for coordinating all functions necessary for an efficient and productive flow of patients between check-in, treatment, and check-out. This position is a point-of-contact for all non-clinical patient service including managing the patient scheduling process; collecting, maintaining patient charts and electronic medical records; maintaining the front desk area; and providing outstanding customer service to our patients.
Key Responsibilities:
- Prepare the provider’s clinic schedule and ensure all necessary documents and records are on file prior to patient visits.
- Greet patients promptly and courteously, creating a welcoming environment.
- Answer phones, respond to inquiries, and manage electronic scheduling of patient appointments.
- Verify and update patient personal and insurance information at each visit.
- Facilitate referrals to appropriate services such as physical therapy, pain management, or diagnostic imaging.
- Educate and support patients and their families regarding the provider’s treatment recommendations and care plans.
- Verify insurance benefits, process payments, and collect co-pays or outstanding balances over the counter.
- Ensure compliance with all healthcare regulations and standards while maintaining patient confidentiality (HIPAA).
- Perform data entry, faxing, filing, and other administrative duties as assigned.
- Accurately document all patient interactions, updates, and care coordination in the medical record.
- Collaborate with clinical staff and other departments to ensure smooth office operations and continuity of care.
Qualifications:
- Minimum of 1 year of experience in a medical front office or similar healthcare administrative role.
- Excellent telephone and communication skills with a strong commitment to customer service.
- Strong organizational and time management skills with attention to detail.
- Team-oriented and energetic with the ability to adapt to changing priorities.
- Flexibility with work hours as needed to support clinic operations.
